So you’ve heard about Postcrossing and you’re ready to send your first postcard… but where do you begin?

Don’t worry! This quick guide will walk you through the exact steps I followed to get started with Postcrossing (with screenshots so you know what to expect).

Getting started with Postcrossing doesn’t need to be complicated. Here are a few essentials you can keep handy so you’re always ready to send:

7 Steps to Start Postcrossing

These 7 beginner-friendly steps will walk you through everything from signing up to your first happy mail delivery!

Step 1: Create a Free Account

Go to Postcrossing.com and click Sign Up.

You’ll need to:

  • Choose a username
  • Add your email address
  • Set a secure password
  • Select your country, city and write your full mailing address
  • Agree to Postcrossing Terms of Service and Privacy Policy

Step 2: Fill Out Your Profile

After signing up, go to head over to Settings then Profile and write a short description about yourself.
It’s time to let your personality shine. You can include:

  • Your hobbies and interests
  • Languages you speak

You can also upload a profile photo and choose whether you’d like to do direct swaps.

💌 Fun fact: I always write in Filipino when sending to the Philippines, sprinkle in Bahasa when sending to Malaysia, and sometimes even include Japanese phrases for my cards to Japan!

Step 3: Request to Send a Postcard

You’ll be assigned:

  • The name and address of a random member
  • A unique Postcard ID (like CA-159******)

✏️ Don’t forget to write the Postcard ID clearly on your postcard. This is how the recipient will register it!

Step 4: Write and Mail Your Postcard

Now the fun part begins. Choose a postcard, write a short message and add stamps. Don’t forget the Postcard ID! Then drop it in a mailbox.

Step 5: Wait for a Postcard to Arrive

Once your postcard is received and registered, your address goes into the system. That means someone else, somewhere in the world, will be sending a postcard to you!

You’ll get an email notification when your postcard is registered. Then, it’s your turn to receive a postcard.

Step 6: Register Incoming Postcards

When you receive a postcard, log in and click POSTCARDS → Register a postcard.

Enter the Postcard ID (it’s written on the card) and leave a thank-you note for the sender. It’s good Postcrossing etiquette!

Step 7: Keep Sending, Keep Receiving

The more cards you send, the more you’ll receive. You’ll start with a limit of 5 travelling postcards. As you get cards registered, your sending limit increases.

    • Use clear handwriting and avoid glitter pens on shiny cards. They smudge!
    • Check profiles before writing. Some Postcrossers love specific themes (cats, landscapes, recipes, celebrities). While you’re not obligated to match their preferences, if you happen to have something that fits, why not indulge them? It’s a small gesture that can make someone’s day even more special.
    • Take a photo of each postcard you send. Postcrossing lets you upload it so others can see it on your profile.
    • Don’t panic if it takes weeks. Some postcards travel 10,000+ km and can take time.

    What happens if my postcard gets lost or never arrives?

    Sometimes postcards get delayed or lost in the mail, especially when traveling long distances. If your postcard isn’t registered after 60 days, it becomes “expired,” and you’re allowed to send a new one. It’s rare, but part of the process. Always double-check the address and use legible handwriting to reduce the risk.

    Can I send handmade or self-printed postcards?

    It depends on the recipient’s preferences. Some Postcrossers love handmade cards, while others prefer store-bought. Always check the recipient’s profile first. If they haven’t specified, it’s safest to send a traditional postcard on sturdy material.

    Do I have to respond to every postcard I receive?

    No, you don’t have to respond. Postcrossing isn’t a pen pal program. There’s no obligation to write back. Your only required action is to register the postcard when it arrives.
    That said, it’s good etiquette to leave a short thank-you message when registering the card. If the sender asked a question or included a personal note, it’s thoughtful to include a quick response in your message. It keeps the spirit of connection alive!
